The CMHA Victoria office is looking for one full time Admin Coordinator to provide administrative support to the Program Manager and program team. The successful candidate will manage the day-to-day business operations of the office, provide support to the Victoria based managers and coordinate logistics for meetings, conferences and other events. The position involves acting as the Victoria office point person on various administrative and human resource (HR) matters. This will involve working closely with Human Resources to ensure compliance with HR policies and procedures as well as with the Payroll Administrator, both located at CMHA BC Division in Vancouver.
Responsibilities
Administration:
Provide confidential administrative support to the Program Manager and team
Facilitate the ongoing development and review of office systems and administrative efficiency and recommends improvements as applicable
Organizes and provides administrative services at various meetings
Oversee maintenance and troubleshooting all office equipment
Perform general office duties required for smooth day-to-day operations of the office.
Informs the Program Manager of issues within the various departments and offices.
Co-ordinates logistics for different Committee meetings including travel arrangements, equipment needs and catering.
Human Resources:
Recruitment: Post jobs, coordinate communication with candidates and schedule interviews
Liaise with Payroll to process new hire, termination and leave documentation
Processing Criminal Reference Checks
Process documentation and prepare reports relating to staff activities (staffing, recruitment, training, etc.)
Maintain the Staff Directory, updating on a regular basis
Provide assistance in updating HR processes and document
Apply the Agency’s Diversity Lens and Framework for Support in all assignments associated with this role

Qualifications & Experience
Completion of a post-secondary degree/diploma and/or equivalent experience
Minimum of three years’ experience in relevant role
Well-developed administrative/management skills to organize, administer, evaluate office support functions
Proven ability to handle confidential information with discretion, be adaptable to various competing demands,
Professional written and communication skills with proven ability to communicate effectively with staff, volunteers, and other partners
Superior skills in Word, Excel, PowerPoint and electronic filing systems, with an aptitude and willingness to learn new software and other relevant applications and technical/ office equipment
Ability to develop options and/or recommendations to resolve issues
Superior organizational skills that reflect the ability to perform and prioritize multiple tasks
Ability to work effectively both independently and as part of a team
Experience and/or demonstrated interest in the work of non-profit organizations in the health or mental health sectors in particular
Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
Working conditions
5 hours/week
Flexibility to travel occasionally if required
The usual work week is 37.5 hours, Monday to Friday, 8:30 to 4:30. There may be occasions where there will be a requirement to be available in non core hours relative to assignments including some evening and/or weekends.

The Kids Boost Immunity (KBI) French Pilot Project aims to raise literacy around immunization for children through a series of articles, videos and online quizzes linked to francophone and French-immersion school curriculum. Timeline: Temporary P/T contract (20 hrs/wk, October 2019 – July 2020)
Location: Must be based in the Lower Mainland. Work location is flexible; however, the Project Coordinator must be able to commute to ResoSanté, BC Centre for Disease Control, and School District 93 offices for meetings (locations in Vancouver and Richmond), and travel to schools throughout the Lower Mainland and potentially to other regions in BC.

Responsibilities
The KBI French Pilot Project Coordinator is a hands-on role that includes responsibility for these key areas:
Work with ResoSanté and Conseil scolaire francophone de la Colombie-Britannique (SD 93) to identify the best approaches for the French pilot project in BC
Interview school administrators and teachers working in both francophone and French immersion schools to identify their needs
Develop KBI promotional materials to support outreach to teachers for the pilot project
Work with site developers and recruit site testing volunteers to test the site to ensure the French language on-line platform is fully functional
Identify and fill translation gaps where needed on the site
Contact schools and confirm at least 10 schools across BC willing to try KBI in their classrooms, including schools most affected by the recent measles outbreak
Organize presentations about KBI for schools or teacher professional development days
Provide training and support for teachers and schools who are participating in the pilot project (this includes being available to respond within 24hrs to any new teacher registrations and questions related to KBI once the pilot project is launched)
Evaluate the pilot project and produce a summary report for project partners
Share the summary report with project partners, including participating teachers and schools

We are seeking a part-time Resource Development and Events Coordinator. By working closely with volunteers, staff and donors, the Coordinator, Resource Development and Events is primarily responsible for developing and implementing strategies for securing financial support from a portfolio of donor prospects. The role also supports the organization by assisting with planning and organization of workshops, health fairs and special fundraising events including but not limited to Ride Don’t Hide.
Duties and Responsibilities

Administration:

Respond to public email and phone call related to mental health services in Victoria as required
Resource Development Duties:

Qualifications
The ideal candidate should have one to three years of fundraising experience and two years event planning experience, a diploma in an applicable discipline is required, or an equivalent combination of education, training and experience. You will also have excellent written and interpersonal communication skills as well as strong organizational and analytical abilities and a proven ability to interact effectively and positively with volunteers, staff, and donors. Effective computer skills are essential.
